Fixed Assets

 

The District’s Fixed Assets Program allows the District to purchase, record, track, and report on items such as land, buildings, vehicles, and computer equipment.

Capital Asset / Inventory Definitions

 

Capital Asset: an asset, tangible in nature, with a true value of $5,000 or more, and having a useful life in excess of one year. Examples of capital assets are land, vehicles, computer servers, etc. Capital Assets are acquired by purchase, construction, or can even be a donation. Each item that is determined to be a capital asset item will have a numbered, white label with a black barcode imprinted with “Property of San Benito CISD” affixed to the unit.

 

 

Inventory Item: an item valued between $500.00 and $4,999.99, as well as the following items regardless of price: desktop computers, laptop computers, tablets, or any other mobile device. Each item that is determined to be an inventory item will have a numbered, white label with a black colored barcode imprinted with “Property of San Benito CISD” affixed to the unit. Inventory items are usually acquired by purchase order or donation.

 

Capital Asset and Inventory Items Oversight

The administration and oversight of the Capital Assets and Inventory items resides with the Purchasing Department. 

 

All fixed assets will be tagged, recorded, tracked and reported by the Inventory Clerk.

  • All capital asset and inventory item purchases should initially be delivered to the campus/department or warehouse depending on the item.
  • If it is impractical to make delivery to the warehouse (e.g., equipment is to be installed upon delivery, or is too large or fragile to be delivered by Distribution personnel), the receiving party should ensure that the Purchasing Department is notified.

 

Property Transfer / Surplus Turn In

Fill out the Equipment Transfer from and submit it to the Maintenance Department form Processing.  A copy of the form must be provided to the Purchasing Department to remove the item from inventory.

All items that have, or should have, a San Benito CISD inventory tag should be listed on the form. Items requiring tags include any item that initially cost over $500.00, and the following items regardless of cost:

  • Desktop Computers
  • Laptops / Chromebooks
  • Tablets
  • Projectors
